Setting Up A Tournament

This article covers setting up a Tournament in Darts Atlas, from creating it from scratch, defining the format and assigning a venue, up to the point where players can register.

Before we start, there are two things to consider:

The Venue - this is crucial information which allows players to see where the tournament is being played. To assign your tournament to a venue, it will need to be created in Darts Atlas first. Here’s a helpful guide on how to check a venue & create a new one.

Your Organisation - Organisations are a great way to brand your events under one entity. Whilst not essential when creating a tournament, there are lots of benefits to setting one up. If you haven’t already created one, more details on how can be found Here.

Create Tournament

To create a new Tournament, press ‘Create’ in the menu bar, then select Create Tournament.

The first option is to assign an Organisation. Select your organisation from the dropdown or hit skip if this isn’t relevant.

Next, assign a venue by searching for it and selecting from the list below. This can be done later, so hit skip if your venue isn’t listed. If your an admin in a venue or have a venue set as a favorite, they will be listed below.

Basic Information
Enter the basic information: Tournament Name, date and time. Event information should contain more details for players about what to expect on the day (format, check-in times, prizes, venue information, parking details, etc.).

Configuration

Player Format - Defines whether the Tournament is Singles or Pairs.

Competition Format - Select if your tournament is Knockout or Round Robin.

  • Knockouts = losers are eliminated from the bracket until only one winner remains.
  • Round Robin = Players are split into ‘Groups’ where everyone plays everyone. The top performers then progress into a Knockout bracket to determine a champion.

Game Format - Select the format of each match: traditional 501, Cricket or a mix of both. Custom allows you to play a traditional countdown from a different start point (301, 1001, etc.).

Default Match Length - Defines the ‘Best of’ legs in the opening games (First Round in a KO, Group games in a RR). Format for later stages can be amended later.

Player Labels - Define if Darts Atlas will display a player’s Full Name or their Nickname (defined in a player’s profile settings).

Registration

Pre-Registration - Allows you to restrict registration to a number of days before the tournament is scheduled. Great for series events or tournaments being set up well ahead of time.

Maximum Entries - Defines how many entries the tournament is capped at. Consider your venue capacity, format restrictions & timing restrictions.

Amateur Only - Ticking this setting restricts PDC Tour Card Holders from registering for your tournament.

Invite-Only - Prevents the public from registering; only players you send an invite to can enter.

Hide Registration List - As players register for your event, their names will be displayed publicly. This can be turned off by selecting this setting.

Finally, hit Create Tournament & the tournament is now created and live, ready for players to register.

The next screen is your Tournament Homepage - direct potential players here to register.

Next Steps - Advertise your event or invite your players to get them registered.

For details on how to run your tournament on the day, here’s a step-by-step guide.

Additional Information

If you hit the Tournament menu button (three lines, top right), you have a number of options:

Entries - The list of players who have registered for the tournament (this will not show if you’ve hidden it in the settings).

Contact - Allows players to contact you (the Tournament Director) with queries, withdrawals, etc. These messages will be sent to your email address associated with your Darts Atlas account.

The next options (Yellow Text) are admin-only:

Settings - Takes you back to the setup pages to change/update any tournament settings.

Add Players - Add a player as a guest (doesn’t require a Darts Atlas account) or invite players via email address.

Check-in - Used on the day of the tournament to ‘Check-In’ players as they arrive at the venue. You can also deny a player if they will no longer be taking part.

Checkout - Once all your players have checked in, checkout will close registration and start the competition. Here you will pay any tournament fees (more details on pricing here).

Boards - Once your tournament is checked out, you’ll be able to assign boards to your competition. If you’re playing in a Managed Venue, this option will be available before checkout.

Production - Links to share with players & spectators so they can follow your tournament live from their phone/device.

Sanction - If you wish to run your event as an ADC or WADC sanctioned event, apply for a sanction here. More details on ADC sanctioned events here.

Venue - Assign/update the venue for your tournament.

Tournament Directors - Add another user as an Admin for this tournament. You’ll need to be connected to the other user as a friend within Darts Atlas.

Message Players - Message all registered players. This is a great tool to relay updates (change of venue, change of times, etc.) or keep your players engaged with a reminder in the days leading up to the event.

Duplicate - Creates a new copy of the tournament. All format, information and name settings will be carried across. Registered players will not be duplicated and will need to re-register.
